The short answer

Decide who you are writing to, which question you will answer and what the reader should do next. Plan content and frequency around that relationship.

Do not treat every reader as the same audience

New subscribers, existing customers and researching businesses may need different information. Email marketing should consider the segment, relationship stage and appropriate contact conditions. Define which subject is useful for which group instead of sending the same message to everyone.

Give the issue one main idea

A guide, usage suggestion or service question can be the central topic. Combining unrelated announcements can obscure the next step. Content and creative work should connect the subject line, explanation and destination around one idea.

Check the experience before sending

Review the subject line against the actual content, check links and mobile readability, and confirm that the destination fulfils the promise. A test send can reveal formatting problems. Assign copy, creative, approval and final-check ownership within the production schedule.
